Just lost my ARCA. I will have to go on a scavenger hunt of the odd
and unusual to find someone who can do this job well. Its sucks that
he had to quit.
P:
Where can I refer members to contact about not receiving their member
packets? A lot of people have been questioning this on the list and have not
been receiving a response. Does this fall under the nobody has any
idea category?
Q:
I am concerned
that a lot of the coordinator questions that come up in their reports are
not being answered. The majority of them that I see not being answered are
those that ask a question of the regional staff. Should we defer the
coordinators and ask them to contact the national offices themselves to get
their questions answered? I think that would be a little off color since we
have always asked that they utilize the chain of command. |

Q:
If members of
one State travel to another state to participate in a different domain’s
event, who then handles the investigation if there is an issue? Is it the
ARC Arbitration in that state, or the ARC Arbitration of the players being
investigated? A: To some extent, it may depend on the situation. If the investigation can be concluded while the members remain in the states they are visiting, then it would remain in the hands of either the local Coordinator chain, or the ARC-Arbitration for that locality. If the member returns to his/her home, then I would prefer both ARC's get involved, especially if the investigation is going to be in-depth. The best answer I can give you for this question is we will have to examine this on a case-by-case basis as the need arises. |

going on within Southern California, everyone is playing polite, there is a
minor tiff going on between the ST staff and the Global Metaplot office, a
turf war so to speak regarding who has what authorities, but it isn't going

C: We have just concluded the 1st quarter Pet
Food Drive to support the local shelters. In 3 months time, the Southwest
Region collected over 2000 lbs (that's one ton) of pet food. We also
collected various pet taxis, blankets, towels, cat litter, newpapers and
other odds and ends as requested. This was an over all success and I am
VERY PLEASED with the turnout. The membership of the Southwest deserves a
BIG pat on the back! A: Excellent. C: I have just introduced the 2nd quarter Charity Drive for 2004. It will involve donations of time, money and items to local centers for the prevention of abuse. P: Last minute things for SWRE piled up this week, but they are being addressed. All will be taken care of. P: We had some rumor control regarding rumours that certain members of the SWRE staff were sandbagging with the intent to make the event fail. These rumours have proven to be completely false and attributed to high tensions and misheard conversations. The staff has been reminded to be aware of what is said and to whom as perception is reality to most folks.
Q:
I have had to bounce requests for prestige from last year as I could not
find any documentation from the previous staff on the awards. From reading
the reports that the membership in question turned in, I have found that
some Coords are awarding Regional Prestige to the membership before reading
the RC reports. I think most of the problems could have been avoided if
those coords had waited to read the report and then sent their inquiries in
immediately thereafter when they realized that their prestige
recommendations were missing. |

The review queue website seems to be working well, despite some initial
member resistance.
C: I am re-finishing Ben Wintersteen's log as I mistaken thought I finished it.

trying to track down a returning member's prestige. He has been gone for
quite some time, and the paper trail is less than good.

need to realize that we are all volunteers and that we are also human and
make mistakes.

| SWRE 2004 (Aprl 29 -
May 2, 2004), Phoenix AZ SWRE 2004 is just around the corner (end of April 2004); memberships are available for purchase via the White Wolf catalog ($20 at the moment), and we have a Website available at www.swre.org. I am very proud to say that not only have we made our room-night commitment, but that we've oversold it already! I'm anticipating an excellent event. There are currently no other Regional Events being planned for our Region through the end of the calendar year, though we are on the cusp of several Domain Events with TINHARE in Phoenix, the Annual Garou Campout in L.A., and Midsummer's in Salt Lake City. |

P: Have members who have not received confirmation Emails from White Wolf regarding Pre registration to ICC 2K4. The monies from the accounts were removed but no Email was received by those individuals. ( not answered from last month)

your question. P: Justin Doty, the past Domain Coordinator misplaced the regional canned food donations. He did not separate them from the standard prestige awards for the Domain. In December 2003 Dominic Mottola and I, each dropped fifty items of canned food to a donation center. Is their anything we can do to get this prestige backdated? ( waiting two months, never answered. )

CA-003-C Phoenix House |

Well not
entirely a problem…we have a returning member, Jarrod Iverson (US2003102404)
and I am trying ot track down records for him. I have talked to various
people about his involvement in the organization, he was an SST for Shadow
Lords starting in 12/97 and continued until sometime in 1998 when he left
the organization. He was instrumental in generating the Shadow Lord tribal
website and is credited on it to this day. I know that he did a lot of
regional and national garou storytelling during his membership which I
believe began in 1995. He was at one time a member of Phoenix House;
however, unfortunately I do not have old records for us from back then. I
got information from Chuck Childers letting me know that according to the
NPO records he can find he only was a member through 12/96 and never
attained any MC above 1. Based on discussions with Jarrod and e-mail backup
he was clearly an active member of the organization past this date and I
believe was at least MC-6. I was wondering if there is any chance that we
can find documentation of this status somewhere in the NPO records. Please
let me know if there is any other information that would help track this
down. A: This issue has already been sent to the attention of the National Coordinator and the Camarilla Council. At this point in time, I have received no response from them. I would imagine if they need further information, you will be hearing with them directly. I wish Mr. Iverson the best of luck in this matter.. |

CA-012-C Moonlight Masquerade |
P:
Not a problem, per ce between
individuals, but a dilemma as a whole. The membership makes comments or
references as to wanting Social Events and things to do in the Chapter, yet
when it is available to them, no one follows through. So, I guess the
problem lies in the membership as a whole, Member participation and
involvement is a difficult one in MM if not revolving around LARP. ARC-Admin: My best advice for that group is to trick them into thinking they are going to an out of town game and driving to philanthropy instead. Unfortunately this goes against the spirit of comraderie we try very hard to uphold. If I have any eureka moments about it I will email you. Let me know if you come up with anything. A: One possible tack you can take is to create Social Events that are geared around their other interests. At one time, a local Chapter here used to hold the "Ventrue Book Debates and B-B-Q" on a monthly basis. Those who enjoyed reading, or discussing literature were given a topic for a book to read, and one month later, we would all gather again to review and discuss our books, and to enjoy a yummy barbeque. We would regularly get a group of 10-12 members attending, and the discussion was always fun. Motivating your members to attend events where they cannot earn XP or Prestige is always difficult, but it has always been my experiences that an OU which holds regular Social Events which are well-attended, usually have fewer problems that require Conflict Resolution. When we get to know one another outside the game, we can more easily leave all the nastiness of the game in the game. Good luck on this! |

Nothing has been
resolved in regards to C.R. Teodoro, or at least, have not heard from the RC
in regards to his issue against C.R. Teodoro. Lost two members; they
decided not to renew membership and part from the Camarilla (Kaliope Pappas
US-2002076331 & Rick Countryman US-2002-07-6330) A: The issue with Mr. Teodoro has been referred to the National Coordinator's office as it represents a Conflict of Interest for me to levy further Disciplinary Action due to other, more recent, circumstances surrounding this matter. |

CA-018-C Paradise Lost |
P:
Don't know what people got for Regional prestige since I can't find any
reports on the website past January. Over $3600 in car repairs and no job
make reports a pain in the butt to get done. ARC-Admin: Contact me for the reports that you are missing or need and I will get them to you almost immediately. I am sorry that your car fell apart. A: If anyone can understand right now about real-life getting in the way, it's me; hence the reason the February RC Report (and this one) have been so late. If you check the Regional Website, you will find the report for February, and that should take care of the Regional Prestige issue. As for the car repairs, good luck.. |

CA-027-D Twilight Chronicles |
P:
Having an issue with a member wishing to transfer for associative reasons.
Consulting closely with the RC office to accomodate member within the goals
and guidelines of the club. The member has been less than helpful or
understanding. RC's office is aware of ongoing issues and specifics. ARC-Admin: Noted. A: Noted. The worst part about this is the longer the member refuses to assist, or to adhere to the rules of the organization, the longer it will take to resolve their issues to their satisfaction. Continue to try and impress on this member the importance of cooperating with Club officers in the performance of their duties as best you can. Ultimately, however, the decision is up to them, and we cannot make them do anything they do not want to. P: Having problem with members ignoring dispute resolution processes, and pushing the envelope on the Code of Conduct. RC's office is aware of these ongoing issues and specifics. ARC-Admin: Dually noted. A: Noted. Bear in mind on this one that if you observe CoC breaches, or find them not using the Conflict Resolution processes, you can take Disciplinary Action on your own. Follow the Handbook (beginning on page 71) for guidance, and don't hesitate to use the ARC-Arbitration in your area to assist if necessary. As always, I and the rest of the Regional Staff are here to help as well. Good luck. |

P:
There has been a lot of time
between catching up these reports. For the most part all I can say is that
I am one person and there aren't many people in this chapter willing to
help. It frustrating when I have to do this alone with work, kids, and a
death in the family. Today is the day I have alone to try to get as many of
these in as possible. I only have one person to even try to help me and
he's got his own problems. All I am going to do is try my best and go from
there. ARC-Admin: We understand that real life issues have to run paramount in life. However, an extended display of inaccurate or late reporting will have repercussions such as earning less prestige, losing your chapter the ability to be approved to become a domain, and causing difficulties for your members in regional level prestige audits. A: This one is a no-brainer: Real life comes first. If you can't get the reports done because you're overwhelmed with more important things, then get them done as soon as you can, but don't stress. Here's some things you can do if you find you are in this situation again: 1. Send a message to your Chapter list, and to the SW-Reports list telling us the report is going to be late. We can all understand the pressures of real-life. Knowing the report is going to be late because of it is better than wondering if you're still out there at all, and that's what a message accomplishes: it tells folks you haven't forgotten. 2. Hire an ACC to help with the Reports. Let him/her prepare the bulk of the report, and send it to you to review and add the more sensitive sections before sending it to the list. Delegation is helpful and hard-to-do (believe me, I have problems with that myself); but I am here to tell you that if you have a good staff, then the work gets done even when you are overwhelmed. This is an option I highly recommend: remember, your Members rely on you to make their Prestige awards, and those awards have to show up in the monthly OU Report. 3. This one is not one I like to recommend, but I have to say it anyway: Consider resigning if the pressures of real life get to be too much. I would hate to lose a capable Coordinator, but you and your health is more important than the Club's needs in the end. To quote the NC, who has given me this exact advice: "We can always find another [CC], but we can't find another you." |

Eric Cole did not get
his membership #, will attemt to repurchase in April 2004. Can he be
awarded prestige for the work he is doing even though White wolf did not see
fit to grant him a membership for whatever reason? ARC-Admin: Keep a running log and award to him under a pending member status if you have any kind of confirmation that the membership was paid for. Please contact members services as soon as possible to see what can be done on this. If there hasn’t been a resolution or progress in 10 days please contact me. A: Okay, first, contact Jana Wright at memberservices@camarilla.white-wolf.com about Mr. Cole's membership. She should be able to resolve that for you. As far as Prestige goes, as long as Mr. Cole has proof of payment for his membership, instruct him to begin maintaining his own Prestige Log, as the Handbook instructs. |

Apparently my last two reports
were not received. After digging through my mail server, I was unable to
recover old copies of the reports. Damn you, AOL. So I suppose I'm just out
of luck for Jan and Feb. ARC-Admin: Gotcha. Whenever you have problems contact me and we will figure it out. A: It's unfortunate to hear that you lost them. What you can do, however, is try to reconstruct the Prestige Awards for your Members and list them in your next report. Remember: CC/DCs can "backdate" Prestige for up to 90-days from the date of the Report. If it needs to go beyond that, then send it up in your report in a seperate section (such as this one) and we will be able to approve those awards within the guidelines.. |

Coordinator's tracking
software crashed and wont recognize the data tree. Back up will not import
properly. If it can't be fixed at SWRE I will return to my old system next
month. I'm holding this month's prestige and will report it with next
month's. I would like to get the software working properly before I add
more data to it. ARC-Admin: I have it noted that CTS crashed on you and you will be backlogging the points. If you can provide more detailed information on what is crashing with CTS or the error messages you are receiving then maybe we can help you figure out what is going wrong. I can also provide you with the program on disk if you are going to be at SWRE. Support for CTS can be found at http://groups.yahoo.com/group/cts_camarilla. A: Happily, I was able to fix this problem at SWRE, it was in the database. Sorry for the difficulty though.... Go ahead and backdate the Prestige in next month's report. |

Waiting on Adam
Morse to get with his Prior CC's to get his prestige logs so that I can
import them. Also trying to track down the National prestige from the Blood
Drive back in October but I have not been able to find anywhere that reports
the national for that. Where should I look?

I’m concerned that we seem to
have a number of members moving in and out of our domain over the last
month. I have yet to see any paperwork cross my desk other than Jennifer
Anderson’s in regards to this. I should in theory be seeing Prestige Records
forwarded to me from the Regional level for these people initiated by the
originating CC’s. I am not. P:

Is the next RC report going to publish both
February and March’s Prestige and answers to questions? Or is the report
going to be separate from the March report? A: Well, as you probably know by now, the February Report was released a few weeks ago, and this is the March Report. I will always try and issue separate reports because it is less-confusing that way. Prestige and answers will always be in the report for their respective months. Q: Ben Wintersteen’s Audit for MC 12 is still being worked on? I have written the Auditor Matt Hirsche and heard nothing back from him, Can Ben and I get an update on this? For time purposes, the Audit left the Regional Queue at 01/02/2004 that is more then 3 months… is National having issues? ARC-Admin: I have passed your question up to National. We have no idea whether or not National is currently having staffing issues or some other problem with audits. Matt has stated that he has not received an email from you recently. Please attempt to recontact him. A: The last I had heard on this was in Mr. Hirsch's report last month where he'd said he mistakenly reported that Mr. Wintersteen's Review had been passed to National when it had not. AFAIK at this time, we are still in posession of his Prestige Logs, but I will investigate further. |

waiting on answer to last month's question: What is National's opinion
regarding the interpretation of the Disciplinary Action section in the
members Handbook, are these guidelines general suggestions on how one may
choose to discipline a member or are these hard and fast rulings that must
be followed with no deviation. Can one tailor a discipline to an individual
as a CC chooses in hopes to engender positive change in unsavory behaviors?

Another question: National Prestige is not
being posted on the NST or the NC sites regularly. I make sure that my
member's have someone e-mail me of any national prestige that they earn for
tracking purposes. How should these be presented on reports? |

and SW-Region lists, is it appropriate to follow the basic strictures
regarding prestige reporting and auditing as outlined in that discussion?
Specifically regarding verifications and log format requirements? ARC-Admin: I am having difficulty with the wording of your question, and I might be misunderstanding you. No alteration has been made yet to alter the prestige verification guidelines. Currently if you have regional or higher prestige, there needs to be a url to accompany it. If I have misunderstood you, please feel free to send me an email and I will take care of your question. A: I am not sure of what it is you need confirmation of. I am still getting
email saying I have members in my chapter that I don’t have listed on my
reports from the White Wolf database. Not that I mind more members but is
there a place to verify that these are newly purchased cam members or
current members that live in the area not affiliated with a chapter
currently? ARC-Admin: There is no place to verify that until the database goes live. You can contact either Members Services or web presence for White Wolf and see if they can assist you further. A: When the new Membership Database comes online you will be able to do all these verifications yourself. For now, just continue to exercise patience; I am trying to get a Regional "dump" of the DB so we can get updated rosters to all the OUs. |

Q:
I have been using the
Coordinators tracking program for our record keeping as I was told that we
were trying to get all the chapters to start using the program. My only
concern is that the template for the chapter report is a little outdated
when compared to the current national format sent out today. Have there been
updates for this program or do we still need to enter the changes by hand. ARC-Admin: CTS is in no way required for reporting. It is useful as a program, and is wonderful for mass prestige entries (like chapter meetings). Support for CTS can be found at http://groups.yahoo.com/group/cts_camarilla/ A: I try to keep the CTS up-to-date with the Reporting Template that Chuck Childers sends out; usually, he notifies us when changes are made. I will look into this and make sure the report format is up-to-date. |

position they were fired from? A: Yes, once they complete the required Test. The removal notifications specified they must first complete the Test before holding any elected position, or until October 4, 2004, before applying for an elected position. |

proposed date for the Febraury Regional reprt to come out. Our DC is
waiting on that report for Admin award it is supposed to contain. ARC-Admin: February and March reports are being amalgamated together to form the Regional Report and prestige awards for both months. If you are missing the prestige recommended to your DC and you are her tracking coordinator, please feel free to contact me privately for award confirmations. A: The February Regional Report was issued some weeks ago. You are now reading the March Regional Report. The reports were not amalgamated. Also, just as with any member, and any Coordinator's Report, if the Report is late, the member should exercise patience and wait for those reports to be published. There should be no rush in adding Prestige to a Log: if the member has earned the Prestige, it will be reported and the member may add it to their Log at that time. But do not enter Prestige into a Log until it appears in the awarding Coordinator's report, or until you have an e-mail verification from the awarding Coordinator. |

troupe can I still award the ST prestige? ARC-Admin: If it is a Camarilla Sanctioned troupe game then I believe the answer to be yes. I would suggest you ask your VST’s to inquire in their reporting if this information is correct. A: If the Troupe Game is a Sanctioned Event (not a Sanctioned Game -- because no Troupe Games can be "Sanctioned Games") then you may award Prestige for this activity under the Guidelines on the ANC-Prestige Website. If it is not a Sanctioned Event, then you may not award Prestige for this activity. |

level prestige awarding may need to backdate the prestige in the next

We appreciate your patience, and apologize for any inconvenience it has provided to the coordinators or their members. If you are looking for prestige recommendations for your coordinators for their monthly duties, please feel free to contact me so that I can confirm the recommendations for you A: No backdating is necessary, as these awards are made at the Regional level. If you put them in your OU Report, you are placing them there as a courtesy to your Members, but the reference for those awards is always the URL for where the Regional Coordinator's report is posted. |

A: If the change has been made in the "Member's Only" Section of the WW Website, then you've done everything you need to do. That will place the changes in the Membership Database. Just go back and check the Website if you need to verify it; there is no need to bother Membership Services about this unless the Website shows the change has not gone through |

prestige of Rowan Cota and Jim Flood. Rowan's prestige is squared away.
Jim's prestige is pending some old mistakes that he is attempting to have
corrected by the Regional staff. I have recommended to the CC that Rowan is
advanced to MC 5. Additionally, Keith Johnson, Chris Fletcher and John W.
Oliver are pending reviews from the Domain Coordinator. ARC-Admin: Congrats on the audit completions. I am sure your members appreciate it. |

I would like to nominate David
Egan for exceptional service. Since July of last year he had been work
tirelessly to obtain a membership number from Membership Services for Mr.
Sean Kroger. Mr. Egan had originally purchased a membership for Mr. Kroger
in July '03 only to have the charge to his credit card reversed and no
membership number assigned. Thereafter, every time Mr. Egan tried to
purchase Mr. Kroger's membership, he was confronted with the same result.
Afterwards, Mr. Egan began emailing Membership Services to try an obtain the
number for Mr. Kroger that way. It took until February of '04 until Mr.
Kroger was finally assigned a membership number. If it were not for the
efforts of Mr. Egan, Mr. Kroger may have given up and left the Camarilla in
July '03. Because of Mr. Egan's hard work and awesome dedication, this did
not happen and the situation was finally resolved. ARC-Admin: |
